The controller of personal data is M.IT Robert Szolka, ul. Szymały 136/3, 41-933 Bytom, Poland, VAT ID (NIP) PL6262711018. Contact for data matters: biuro@marketing-it.pl.

2. What data we process and why

  • Account: e-mail address, phone number (if given), language, sign-in dates – to run the account and sign you in with an e-mail link (Art. 6(1)(b) GDPR – contract).
  • Billing details: name or company name, address, VAT number, invoice e-mail – to issue and keep invoices (Art. 6(1)(b) and (c) GDPR – contract and legal obligation).
  • Domain registrant details: first name, last name, company, address, phone, e-mail, VAT number – to register the domain and keep it in the registry (Art. 6(1)(b) GDPR).
  • Orders and operation history: what was ordered, when and for how much, DNS changes – to perform the services and handle complaints (Art. 6(1)(b) and (f) GDPR).
  • Technical data: IP address and time of operations, including acceptance of documents – for account security, abuse detection and proof of contract (Art. 6(1)(f) GDPR – legitimate interest).

Providing data is voluntary, but without it we cannot register a domain or issue an invoice. We do not use profiling or automated decision-making.

3. Who receives the data

  • Domena.pl sp. z o.o. (Bydgoszcz, Poland) – the accredited registrar through which we register domains.
  • Domain registries – e.g. NASK (.pl), EURid (.eu), Verisign (.com) and others, depending on the extension. Registries follow their own rules and may be separate controllers.
  • Hosting provider – when the Customer uses hosting or the placeholder page.
  • OVH – the data centre in the European Union where the service’s server runs.
  • Google – sending e-mails from the service. Google may process data in the USA under the EU-US Data Privacy Framework and standard contractual clauses.
  • Our accountant and public authorities – where required by law.

4. WHOIS data

Registries publish part of the registrant’s data in the WHOIS database. For .pl domains, NASK publishes company data and does not publish data of natural persons, including sole traders. Other registries apply their own rules, usually limiting the publication of private persons’ data.

5. How long we keep the data

  • Account and registrant data – for as long as we provide the services, and then until the limitation periods for claims expire.
  • Invoices and billing data – 5 years from the end of the year in which the tax payment deadline passed.
  • Technical data (logs) – up to 12 months, unless needed to investigate abuse.

6. Your rights

You have the right to access your data, rectify it, erase it, restrict its processing, port it and object to processing based on legitimate interest. Write to biuro@marketing-it.pl. You may also lodge a complaint with the Polish supervisory authority (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw) or the supervisory authority in your country of residence.
